Supplier-Managed Liquid Cylinder Inventory: Agreeing Data Access and Refill Responsibilities

Supplier-managed liquid cylinder inventory needs an operating agreement as well as telemetry. Before sharing data, the customer and supplier should agree access, monitoring hours, refill authority and the response when readings or acknowledgements are unavailable.

Agree the service boundary

CryoFor Telemetry can give an authorised supplier visibility of customer vessels with customer consent. That visibility supports a service arrangement; it does not itself transfer responsibility for every on-site task or create a delivery commitment.

Describe which vessels are included, which team reviews them and during which hours. Set a practical point at which the supplier contacts the customer about replenishment. Consider site access, delivery lead time and production constraints when agreeing this point. A run-out forecast can inform the review, while the agreed process determines the action.

Put responsibilities in a shared worksheet

Keep a short, current operating record for each customer. Assign named contacts and deputies rather than referring only to departments. Use the worksheet during handover and when a contact or site arrangement changes.

Activity Agree before launch
Data access Customer consent, included vessels and permitted users
Routine monitoring Responsible team, review hours and backup contact
Refill decision Who proposes, who confirms and how confirmation is recorded
Site delivery Access arrangements, receiving contact and customer constraints
Exceptions Offline response, unanswered requests and escalation contacts

Set access and escalation rules

Use named users and the appropriate roles, including read-only access where suitable. Agree which customer data each party should see and keep customers’ data separated. Review access when people change roles or a supply relationship ends; include removing access in the handover procedure.

Specify who receives notifications through the web console and Telegram tools, and who acts on them. Low-level, low-battery and offline alerts need different responses. High-pressure alerts require a separate pressure sensor. A notification should lead to an agreed review or contact step, with a deputy available when the primary contact is absent.

Run a handover before going live

At commissioning, confirm the vessel identity, site assignment, current reading and its time. Check that the intended users can view the correct vessels and that the agreed recipients can receive notifications. Customer and supplier should walk through one refill request and one offline situation together.

Record how a request is acknowledged, how a planned delivery is communicated and who updates the record after a vessel moves. Keep the site’s established operating checks in the shared procedure. Agree how both parties will review unresolved exceptions during the first operating period.

FAQ: Does a low-level alert count as an order?

No. An alert supplies information for action. The parties must agree whether the supplier proposes a refill or a designated customer contact confirms it, and where that confirmation is recorded. Telemetry does not automatically place an order.

FAQ: What should happen when a vessel is offline?

Use the last reading with its time clearly in view, then follow the agreed contact and local-check procedure. Do not treat an older reading as a current stock confirmation. Record who restores connectivity and who checks any outstanding refill decision.

To develop a shared monitoring arrangement, tell CryoFor how many customers and vessels are involved, your proposed monitoring hours and who can authorise refills. Include any customer data-separation requirements so the access and handover plan can be discussed together.
